-What can you do with OnAccounts:
OnAccount is a Accounting software meaning you’ll be able to:
• Journalize Transactions
• Managing Financial Accounts
• Chart of accounts creations,
• Posting of entries and generating
• Creation Financial reports (Income Statements, Balance sheets and Retain Earning Statement)
• Multi Role Assignments (Admistrators, Managers, and Accountants)
- How to set up an Account:
1. If this is your first time Select Register at the home screen ( first option)
2. Fill out the forum provide it and select register (Administrators will approve or deny, if approve you will be assigned a role)
3. If approve select login and fill your credentials in the fields provided it.
-User Role Description:
- Administrators:
Administrators will be able to:
User Managements
• Create, edit, and delete users
• Assign or change user roles (administrator, manager, accountants)
• Reset passwords
Module Access
• Full Access to all modules
Data Access:
• View, edit, and delete all financial data (accounts, journal entries, reports)
• Approve or reject journal entries
Reporting:
• Approve entries from accountants and managers.
• Modify or delete any journal entries
Security
• Manage system security (access control, data encryption, backup policies)
-How to create, edit, and manage users and roles
1. (Administrator only) Select the “Manage Users” button in the top left corner near “teams” button.
2. Select “Add New” button at the top of the screen.
3. Fill out the forum provided it and click the “register” button when done.
4. Go back to “Manage Users”
5. Find the corresponding account row then click on “Details” on the far right
6. Scroll down on the “Edit Account Details” page and click the very last field to assign a role ( Administrator, Manger or Accountant)
- Managers:
Managers will be able to: Oversees the financial operations within their department or team.
High level of access but not full system control like the administrator
User Managements
• View user information within their department.
• Cannor create or delete users but can assign tasks or roles within their authority.
Module Access
• Full Access to Chart of Accounts and Journalizing and ledger modules.
• View financial reports and adjusting entries
Data Access:
• Create and edit journal entries within their scope of work
• Approve or reject journal entries from accountants.
• View accounts and ledgers
Reporting:
• Generate reports related to their department or specific accounts.
• View dashboard data for their department performance.
Approvals:
• Approve journal entries submitted by accountants.
• Review and approve adjusting entries, with final approval from the administrator.
Security
• Cannot modify system security setting.
- Accountant:
Responsible for day-to-day financial data entry and processing. Has access to most financial modules but requires manager or administrator approval for certain tasks.
User Managements
• View only their own account settings and cannot edit other users.
Module Access
• Full Access to Chart of Accounts and Journalizing and ledger modules for data entry and maintenance.
• Limited access to Adjusting Entries ( can propose entries, but will require approval)
Data Access:
• Create and edit journal entries
• Propose adjusting entries.
• Add, edit, or deactivate accounts under Chart of Accounts
• View all ledger entries, but cannot delete them without approval
Reporting:
• Generate and view basic reports( account activity, journal entries), cannot access advanced financial dashboards
Approvals:
• Submit journal entries for approval to the manager or administrator.
• Cannot approve their own entries
Security
• No access to system security.

How to add, edit, deactivate accounts.
1. Select the “Action Menu” in the top right corner near “logout”
2. Scroll down the top down button and select Chart of accounts
3. Select Add new above the account number category
4. Fill out the corresponding information in the forum
